What we collect
We only collect what we need to take your order and get it to you:
- Order details: your name, email address, phone number, delivery address, the items you ordered, and any note you add.
- Account details (only if you create an account): your name, email address and password. Passwords are stored in scrambled (hashed) form by our login provider. We can't read them.
- Your messages to us by email or phone.
We do not collect payment card details. Our website does not take online payments.
How we collect it
Directly from you, when you fill in the checkout, account or tracking forms, or when you contact us. We do not buy contact lists or collect information about you from other sources.
Why we use it
- To check stock, prepare your order, and send you an invoice.
- To arrange payment and delivery, and to tell you about your order.
- To show your past orders and fill in your details if you have an account.
- To keep business and tax records as Australian law requires.
- To answer your questions and sort out any problem with an order.
We do not send marketing emails or text messages unless you ask us to. We will never sell your personal information.
Who we share it with
Only the people who help us fill your order:
- Delivery providers such as Australia Post or a courier, who need your name, address and phone number to deliver your parcel.
- Our service providers who run the website: our web host and our database and login provider (Supabase). They handle your information on our behalf and only to provide that service.
- Our accountant or authorities, if the law requires us to share business records.
Where your information is stored
Our database is hosted in an Australian region where available. Some of our providers, or their support and security systems, may handle information outside Australia. We choose reputable providers and take reasonable steps to make sure they protect your information.
Cookies and browser storage
Our website keeps a few small items in your own browser so it works properly:
- your cart, so it is still there if you leave and come back;
- your login, if you create an account;
- a recent copy of the product list, so the page loads faster;
- a note that you have seen our storage notice.
We do not use advertising cookies, analytics or tracking tools. You can clear this storage at any time in your browser settings. Your cart and login will then be forgotten.
How long we keep it
We keep order and invoice records for at least five years, which is how long Australian tax law requires business records to be kept. After that we delete or de-identify them. If you have an account and ask us to close it, we remove your account details, but we may need to keep the order records described above.
Keeping it safe
The connection between your browser and our website is encrypted. Our database is locked so the public website can only reach it through specific, checked functions, and only our administrators can see orders. No system is perfectly secure. If we ever learn of a breach likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner as the law requires.
Seeing, correcting or deleting your information
You can ask us for a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it (subject to the record-keeping rules above). Email enquiry@swamyfoods.com.au or call 0493 129 799. We may need to confirm who you are first, and we will reply within a reasonable time, usually within 30 days.
Complaints
If you are unhappy with how we have handled your information, please tell us first at enquiry@swamyfoods.com.au so we can put it right. If you are still not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
Changes to this policy
